Audio Visual Boardroom (SBO) Set Up - How to set up for a Teams/Zoom meeting

Overview

Purpose: The purpose of this to guide users on setting up a Teams/Zoom meeting with the cameras and microphones built in the boardroom

Audience: SD35 Staff and external participants

Estimated time to complete: 5 minutes
 

Prerequisites
  • Teams/Zoom Meeting ID and Password
  • Laptop
Step-by-step Instructions

Step 1: Go and tap the Microsoft Teams Room MTouch Plus touch panel located near the iPad

Step 2: Select Join with an ID

Step 3: Select the meeting provider

Step 4: Enter the Teams/Zoom Meeting ID and Passcode

Step 5: Turn on ceiling speakers to allow audio from laptop

  • On the Wall Console or iPad, click the microphone icon

  • On the Microphone and Video columns, ensure the mute is not highlighted blue

Step 6: If presenting a Powerpoint, use your laptop to share screen in the Teams/Zoom meeting

Step 7: End the Meeting by clicking on the End Call button

Step 8: Power off projectors and technology

  • Go to wall console/iPad
  • Click POWER OFF and BOTH PROJECTORS
Troubleshooting
  • What should I do if I can't join the meeting using the touch panel?

    • Ensure the Microsoft Teams Room MTouch Plus touch panel is powered on and responsive. Verify that you have selected the correct meeting provider and entered the correct Meeting ID and Passcode.
  • How can I resolve audio issues during the meeting?

    • Ensure the ceiling speakers are turned on by clicking the microphone icon on the Wall Console or iPad. Make sure the mute option in the Microphone and Video columns is not highlighted blue.

  • What should I do if the touch panel is unresponsive?

    • Contact technical support.
