Xerox User Getting Started Instructions

Overview

Purpose: This guide introduces staff to the new Xerox multifunction printers and walks through key functions such as logging in, releasing print jobs, copying, scanning to email, and ID card copying.

Audience: All staff members using Xerox printers in the district.

Prerequisites
  • Ensure you are connected to SD35-Secured Wi-Fi.
  • Have your RFID card or PaperCut login credentials ready.
Step-by-step Instructions

Step 1: Logging In

  • Swipe your RFID card at the printer to log in automatically.


     
  • If you don’t have a card:
    • Tap the keyboard icon.
    • Enter your employee number and tap OK.
    • Enter your 4-digit PaperCut PIN and tap OK.
  • Login Screen

Step 2: Accessing PaperCut Interface

  • After login, the PaperCut interface should appear. If not, tap the Home icon.
  • Then tap the PaperCut icon.

Step 3: Releasing Print Jobs

  • Tap Print Release.
  • Select the jobs you want to print or tap Select All.
  • Tap Print to release them.

Step 4: Making Copies

  • Tap Access Device.

     
  • then tap Copy.

     
  • Choose the number of copies and adjust settings as needed and tap Start.

Step 5: Scanning to Email

  • Tap Scan from the PaperCut menu.


     
  • Your email will auto-fill.

     
  • Customize subject and file name if needed.

     
  • Adjust scan settings if required
    Click Change Settings

  • Adjust Settings and then tap < Back icon.


     
  • Tap Start to send the document.

Step 6: Copying ID Cards

  • Tap Home

     
  • Tap ID Card Copy.

     
  • Follow on-screen instructions to scan front and back.

Step 7: Logging Out

  • Tap on your Employee number.


     
  • Tap the Logout icon to end your session securely.


     
  • Logout

Troubleshooting
  • Issue: Can't log in with RFID card.
    Solution: Try manual login using employee number and PIN.
  • Issue: PaperCut interface not showing.
    Solution: Tap the PaperCut icon manually.
