Audio Visual Boardroom (SBO) Set Up - How to cast a Laptop to the projectors

Purpose: The purpose of this guide is to assist the user in setting up the boardroom projectors for a presentation using their Windows/Mac Laptop 

Audience: This guide is for SD35 staff and external presenters

Estimated time to complete: 5 minutes
 

Prerequisites
  • Windows / Macbook Laptop
  • Laptop Charger
  • USB-C Dongle (optional)
  • HDMI
Step-by-step Instructions

Step 1: Locate the wall console or the iPad near the sides of the main door

Step 2: Select Project Display

  • There are three options for projectors
    • Left projector - displays on the left projector screen
    • Right projector - displays on the right projector screen
    • Both projector - displays on both projector screen 

Step 3: Select a Video source

  • Input 1 - Screen mirror by connecting your laptop using the HDMI located at the front of the room or wirelessly using the USB-C dongle.
  • Input 2 - Screen mirror your Macbook Laptop by locating the Apple TV's name on your device and follow the instruction on the Apple TV screen.
  • Fixed Camera - Start a new or join an existing Microsoft Teams or Zoom meeting by entering the details on the touch panel tablet located in the back right side of the room.
  • Air Media - Alternate wireless screen mirroring for Windows/Macbook Laptop.

Step 4: Turn on ceiling speakers to allow audio from laptop

  • On the Wall Console or iPad, click the microphone iconUploaded Image (Thumbnail)
     
  • On the Video column, ensure the mute is not highlightedUploaded Image (Thumbnail)

Step 5: Turning off projectors

  • Tap POWER OFF box on the wall console
  • Select BOTH PROJECTORS
Troubleshooting
  • What should I do if there is no display on the projector screen?

    • Check all connections to ensure cables (HDMI, USB-C dongle) are securely connected. Verify that the correct video source (Input 1, Input 2, Fixed Camera, Air Media) is selected.
  • How can I resolve audio issues?

    • Ensure ceiling speakers are turned on and the microphone icon is clicked on the Wall Console or iPad. Confirm that the mute option in the Video column is not highlighted.
  • What steps should I take if wireless screen mirroring is not working?

    • Ensure your laptop or Macbook is connected to the same network as the Apple TV or Air Media. Verify that your device supports the screen mirroring method you are trying to use.
